Practical guide / Engineering office work
Less report preparation. More time for engineering.
Analyse Excel files, update slides, follow up on meeting decisions. The next project review is coming. AI can help prepare it once the data version, calculation rules and approval process are clear.
Explore the workflow ↓From source data to an approved report
- 01 / PROCESS
Collect the inputs
Combine the Excel status list, approved meeting notes and PowerPoint template. Retain project identifiers and reporting dates.
- 02 / PROCESS
Check the numbers
Calculate totals and schedule deviations using defined formulas. Flag missing values and conflicting document versions.
- 03 / PROCESS
Prepare a draft
AI writes the status summary, groups open issues and prepares the slide structure. Every statement must be traceable to its source.
- 04 / APPROVAL
Review and approve
The project owner checks figures, wording and actions. The report is shared only after approval.
Illustrative workflow. Not a customer case study or a promised time saving.
Turn three sources into a project status you can check.
An engineering review uses an Excel work-package list, meeting minutes and an existing PowerPoint template. The workflow matches actions to work packages and prepares status slides. If the minutes do not name an owner, that field stays empty. If two dates disagree, the conflict is flagged.
Numbers are calculated. AI writes the draft. It does not decide which deadline is binding.
Meeting follow-up belongs in this workflow too.
Approved notes can provide decisions, actions and open questions for the next review. Owners and dates are included only when present in the source. Audio recordings are not required. Access permissions and the handling of personal data must be agreed before use.
What needs to be ready before the first test
- A recurring report with a named person responsible for approval.
- An agreed data version, unique project identifiers and clear Excel column definitions.
- An agreed PowerPoint template. Automated population and export are tested with your files.
- Approved AI tools, suitable access permissions and agreed handling of company data.
Measure first. Discuss time savings afterwards.
We compare the same report before and after the test: preparation, review and correction time; missed discrepancies; rework before approval. A fast draft is of little use if checking it takes longer. We agree the success criteria before the pilot.
A clearly scoped process can be tested in a pilot for EUR 4,900. The current duration is 4 weeks. Data access, scope and deliverables are agreed beforehand.

Can AI reliably transfer Excel figures into PowerPoint?
Data transfer needs explicit rules and checks. Calculations belong in formulas or code. AI can draft the accompanying text. Figures, sources and data versions are checked before approval.
Are completed reports sent automatically?
Not in this example. The workflow ends with a reviewable draft. A named person approves the report. Adding automated delivery later is a separate process decision.
Is a threefold or fivefold speed increase guaranteed?
No. Time savings depend on data quality, repeatability and review effort. Preparation, checking and rework are measured together during the pilot. Only those measurements support a credible claim.
